Job description

GOKiC is looking for someone who has strong operations experience to help establish operations and policies to support our growth. They should also have knowledge in using a decolonized lens to create equitable policies. The Operations Manager provides administrative, finance, and operational support and serves a key role in operationalizing and implementing the organization’s strategic and business plans. They should align with our mission & vision and come from similar communities we serve. This role is newly created to expand organizational growth and will report directly to the Executive Director.

Primary Responsibilities

General Operations Strategy - 60%
Manages the overall office functionality, flow, and organization.
Serve as an ambassador for GOKiC at all times both formally and informally.
Work with the ED and offer guidance on strategic issues, goal setting, and programs.
Support the hiring process and onboarding procedures, ​​developing a collaborative environment that inspires and aligns staff to work toward vision and goals.
Serve as office manager and manage all aspects of its effective operation, including selecting vendors and purchasing & monitoring equipment, services, and supplies.
Implementing, communicating, and maintaining quality control policies and personnel policies (e.g., Employment Handbook) and other written materials as assigned
Deploy resources efficiently and effectively toward organizational goals, working with leads to balance staff workload and effort, timesheet management, and provide regular feedback so that staff can continuously improve their leadership.
Work with Directors and Program Manager team to monitor income and expenses
Provide administrative support including budgeting, cost volume development, and paying department and program bills
Adhere to all Volunteer Services protocol relative to volunteer usage, recognition, and monitoring
Manage administrative volunteer onboarding (obtaining fingerprinting documentation, liability waivers, etc)
Ensure that GOKiC is in legal compliance with all federal, state, and local laws.

Operations policies - 10%
Update and implement employee culture book
Manage & develop operations, finance, HR, and legal policies for GOKiC
Inform and train staff on current and new organizational policies

Reporting and Data Management - 20%
Provide guidance in preparing monthly financial reports and invoices
Provide occasional editorial support on technical project deliverables
Completes documentation and reporting as required by funding sources
Assists in tracking operational and program expenses and other fiscal records for the organization.
Assist in updating monthly financial and labor trackers, and forecasts for department-led and -involved projects.
Input invoices and receipts to Quickbooks

Organizational culture and morale - 10%
Influence & lead GOKiC culture to create a space that allows staff to connect with the mission and work within the community.
Implement an org-wide survey to evaluate staff morale and culture of GOKiC and implement strategies to keep a positive work environment.

Salary and Benefits:

Salary: $49,000-$51,000 per year full time salaried 32 hours per week
Benefits: GOKiC also offers 20 days of time off, 11 observed paid holidays, free medical, dental, vision, monthly bus pass, and 403(b) plan (Starting summer of 2022).
As of October 18, 2021, GOKiC staff are required to either be fully vaccinated against COVID-19 or have been granted a religious or medical exemption. Philosophical exemptions are not permitted.

  • Post-secondary education or Associate’s/Bachelor’s degree preferred

  • Minimum 2-5 years experience in personnel, operations, and fiscal management experience, preferably in the nonprofit sector

  • Ability to understand and accurately carry out oral and written instructions, and request clarification when needed.

  • Strong spreadsheet, word processing, budgeting, fiscal management, email, and internet skills.

  • Ability to maintain detailed, accurate records.

  • QuickBooks, Gusto, and Monday.com experience is a plus.

  • Strong critical thinking, analytical, and problem-solving skills.

  • Occasional travel by car to attend meetings within Seattle, WA. Mileage reimbursed.
